If you wish to learn how to create an employee handbook that gets used, you’re in the right place.

In this guide, we will explain exactly what an employee handbook is, why it’s mission-critical (especially if you’re scaling), and how integrating it with Operandio’s LMS transforms it from a dusty PDF into a dynamic business asset.

What is an Employee Handbook?

An employee handbook is a document that outlines your restaurant’s code of conduct, work policies, procedures, and expectations.

It sets the tone for your restaurant’s work culture and relationship mode and communicates your business’s goals and core focus. It creates clarity and reinforces brand-aligned behavior for staff members.

The handbook can be in a hardcover book, a PDF file, or a digital link.

What Is a Digital Employee Handbook?

A digital employee handbook is an online, easily accessible guide viewable on any device. Its interactive features, like videos, hyperlinks, and search, make learning faster and more engaging for staff.

Most digital employee handbooks are available in a centralized training platform like Operandio, making it easy for employees to search, read, and stay updated with your restaurant updates on the go.

What Goes Into a Great Digital Employee Handbook

A great restaurant employee handbook explains how your business runs, grows, and protects its people. Here’s what to include:

• Company overview: Share your mission, values, and origin story to align new hires with your restaurant.
• Employment basics: Define roles (FOH, BOH, cleaning, management), job types, hiring process, and equal opportunity policies.
• Workplace policies: Clarify rules on attendance, confidentiality, safety, and harassment prevention.
• Payroll, tips, and benefits: Explain pay schedules, tip policies, overtime, breaks, and perks like meals or wellness programs.
• Technology and POS use: Train staff on POS logins, order handling, clocking in/out, and troubleshooting, all accessible via Operandio.
• Training and onboarding: Outline onboarding steps, how to use Operandio’s training tools, and ongoing learning expectations.
• Performance and growth: Detail your team’s compensation structure, performance reviews, and growth paths.

Actionable tip: Create a “Start Here” checklist within the handbook for new hires. This will accelerate onboarding and build early confidence.

Step #1: Set clear goals and purpose

You must outline the information your handbook should cover, whether onboarding efficiency, compliance, focusing on policies, or improving team communication.

Pro tip: Anchor your handbook’s purpose to people outcomes. If it doesn’t solve a real problem, it’ll just collect digital dust.

Step #2: Map content by role

Structure the handbook based on department and roles so employees see what’s most relevant.

Step #3: Choose the right platform

Select the best handbook software to house your employee handbook. Consider factors like ease of use, customisation options, and integration capabilities.

Operandio offers real-time updates, easy access, and LMS integration to grant you and your team the support you need.

Step #4: Design and customize

Use headings, a searchable layout, and visuals to design a branded employee handbook.

Step #5: Send draft for review and approval

Run the employee handbook by your senior managers, founders, and legal practitioners to review and ensure completeness. Based on feedback, make any necessary revisions.

Step #6: Distribute and train

Share the digital handbook with employees and provide training on accessing and using it effectively.

Step #7: Maintain and update

Regularly review and update the handbook to reflect any company policy or procedure changes.
